Any business employing people as a labor force also engages in another required aspect: payroll. In doing so, that action and process triggers a second requirement for the business: payroll tax withholding. However, while these two aspects of employment make sense and seem very straightforward, their monotony and detail can be extremely challenging.
The fact is that processing payroll is extremely boring and stressful at the same time. If people are paid wrong, it becomes an immediate issue and affects morale. If people have their taxes withheld wrong, the tax agencies get involved with audits and penalties on the business.
Yet, at the same time, the payroll business is extremely disconnected from what most businesses are trying to do to earn profit. So, no surprise, there’s a lot of room for mistakes to happen.
Why Payroll is Perceived as a Headache
A typical payroll transaction involves multiple elements. First, there is the fundamental compensation, frequently in the form of money. This is the basic earning an employee is provided for work. However, even that comes in multiple forms. There is hourly pay, overtime pay, and commission pay. There is also salary pay.
Depending on which employment type an employee falls under, it can then impact other compensation in the form of benefits. Benefits typically come in two forms: salary-driven and fringe benefits. Salary-driven benefits occur based on the hours worked or income earned. Fringe benefits are a flat amount provided as part of a compensation package per se. If that seems complex enough, then come the payroll taxes.
Taxes have to be paid for every pay period by both the employee and employer. The employee’s amounts are withheld and paid to the tax agencies by the employer for the employee. These are matched with the employer’s amount in the same payroll process. All of this information is then later processed for tax reporting and income tax filing.
In all of this mix, accuracy is essential. Every calculation has to be correct. Otherwise, it has a cascading effect through any benefits calculated by the formula and the taxes due, too.
Payroll Work Burns People Out
Because of the combination of stress, monotonous work, and interconnectedness, the number of people available to hire to do payroll work tends to be limited.
Additionally, those who do the work burn out and eventually step away from it as well. Both of these situations end up contributing to the difficulty of keeping consistent payroll processes, especially for smaller businesses. And it’s been a headache that business owners have had to deal with for decades until now.
A Pandemic Changes the World
When COVID arrived in 2020, no one expected the massive changes it would bring with the use of technology. The pandemic didn’t invent the Internet cloud or any new software. However, it did change how people behaved towards business dramatically, and that opened eyes as to what could be done online.
Accounting and personnel have long been stubborn holdouts to entirely online outsourcing, more due to the importance of the information than the difficulty of doing the work electronically. However, once the pandemic hit, most businesses had no choice; the Internet had to be used effectively.
Because of the above shift, outsourcing payroll and tax services today is incredibly easy. Where before, all the information had to be standardized, which at least general accounting principles contributed to, now multiple formats can be easily used. The speed, size, and flexibility through which data can be moved is transformative.
More importantly, the cloud also makes it much easier to find the technical skills to process payroll accounting, both for pay and taxation. That huge expansion of access to talent can serve companies of all sizes. There is no special club only for large companies with accounting needs. Everyone from a corporation to a small startup can benefit from outsourced payroll and tax support.
